Frequently Asked Questions
Is there a template for submitting papers?
The Full Paper template is available for download at the EAD Website. Check each Hub’s website for other templates or requirements for specific formats.
Is there a template for posters?
Check each of the Hub’s websites to find the specific requirements for poster submission.
Do the authors need to be present at the in-person event?
EAD2023 is an in-person event, and at least one of the authors or co-authors must attend. Check each of the Hub’s websites to find the specific requirements from each of them. Participating in the conference gives you in-person access rights to one of the venues and online streaming from the other four venues.
Would it be possible to attend remotely?
EAD2023 is an in-person event. The events, however, will be partially streamed online, giving the design research community opportunities to watch, listen and learn from the other EAD hubs worldwide. Presentations of submitted work will only be possible in-person.
Can I submit it to any hub?
Yes, but presentations will be in-person. We encourage all participants to submit papers to their closest hub.
Can I submit to more than one hub?
Yes, different papers by the same author(s) can be submitted to different hubs, but each hub will require you to pay a registration fee to the hub and present the submission in person after being accepted. This means you would have to pay for more than one hub and physically attend the conference day in the hub you submitted to. Please make sure to read each hub’s instructions before submitting.
Can I submit articles without paying the participation fee?
There is no submission fee. However, if your work is accepted, at least one author must pay the registration fee to present it at the in-person event to get published in the proceedings.
Will the registration fee cover more than one accepted paper?
If an author has more than one submission accepted in the same hub, only one registration fee is necessary.
How much is the fee to participate?
Please refer to the EAD website to know all venues' fees. The São Paulo hub fees are in this page.
What are the key dates of the conference registration deadline?
Deadline extended: April 07
Notification of acceptance: May 26
Early-bird registration fee: May 30
Submission of print-ready copy: June 30
Authors registration: June 30
Can an author at any academic level submit?
Authors with knowledge and academic or professional experience in the conference topic are welcome to submit. We encourage contributions from PhD students and graduates, academics, and practitioners from the public and private sectors.
Is there a maximum number of authors for each submission?
The authors and co-authors can decide how many people they wish to name on their submission(s). However, at least one author must pay the conference fee and present the work in-person.
What is the web address for accessing the submission system?
To submit a paper and follow up the peer-review process, you will need to create an account in ConfTool using your own email address: https://www.conftool.pro/ead2023/
What is the web address for registration?
All registrations will be made via the Eventbrite platform. Please refer to the timeline for details.
Will EAD2023 accept submissions of articles written in languages other than English?
No, the submissions for the peer review must be written/spoken in English. However, some of the smaller discussions or workshops may be organised in-person in the local language of each hub. Check each hub’s local programme.
Can I listen to presentations from hubs I will not attend in-person? How?
The keynote presentations and paper presentations or discussion panels will be streamed online. As part of your participation ticket, you can listen to all the presentations from the 4 Hubs you will not attend in-person via streaming.
Check the programme of the hub you are attending in-person, as some may organise a shared physical space to listen to the streamed presentations of the other hubs.
Why is the conference organised in 5 different countries?
EAD have purposefully reached out to connect in different ways with colleagues across the globe to design and deliver EAD 2023. We know that continents, countries, and higher education institutions are progressing in different ways and at different rates around doctoral education in design. And that culture, values, and political environment influence their progress too. Part of our quest for EAD2023 is inviting you to help re-design our biennial conference and reconsider how knowledge should be exchanged worldwide. Additionally, we wanted to avoid very long-distance traveling and create a more inclusive conference.
How are the accepted papers going to be published?
Accepted works will be published in conference proceedings. Selected papers will be published in a Special Issue of The Design Journal.
Who do I contact if I have doubts about my paper/poster/video submission?
Please look at each hub’s contact information for all queries relating to submission formats or hub-specific matters. The link to each hub’s website can be found – https://eadresearch.org/2023-conference-hub/
For any technical queries about the conference registration and submission system, don’t hesitate to contact the representative from the hub you intend to submit to. Contacts:
